If you are one of those lucky people who have the task of putting together meetings and events, here’s an alert for you: I (‘the office’) need to know what you’re planning in as much detail as you can describe it, and as far ahead of time as possible!  Why?  Because I have the task of trying to make sure that everyone has a space when they need it, and that everyone else has the opportunity to know, via the calendar, what times and spaces have already been claimed.

This task is proving to be quite a challenge — you are a very active church! Unfortunately, it means that I must become a stickler for detail and, therefore, so must you.  There is a special form available to help us.  A supply of this orange “Church Facility/Calendar Reservation” form hangs on the wall in the conference room.  When completed, the form tells me everything I need to know and share with others (such as the Custodian) about how, when, and why you need to use one or more parts of the church.  Based on a completed form, I can determine whether or not your needs can be met. If so, I can then “lock in” your date and space.  (If you need to make arrangements with me over the phone, I will use the form as my basis for questions, filling it out for you.)  Simply stated, if the needed information isn’t available, I can’t lock in your reservation, and the bottom line is very straightforward: first-come, first-served!

You also need to know the guidelines for use of the church facilities, so this information is posted in the conference room for you as well. Just look for the pink sheets.

Above all, please call me between 9 a.m. and 4 p.m. weekdays to check on available dates, times, and spaces, before you advertise your events!  I’m happy to help everyone enjoy these facilities and the time spent here with others. With your help, I can do that without making you sit on each other’s laps!
